Every site. Every asset. One calm view.

Annan CMMS gives Australian facilities teams one accountable place for every asset, every planned service and every work request, from the fault report on a phone to the contractor signing out at the gate.

The toolkit

Know what's due, who's on it, and what it cost.

The core of the toolkit, done properly, so the team trusts the system and stops keeping their own lists.

01

One home for every asset

Every asset, every site and every job in one accountable record, with a service history that's never deleted.

  • QR label and automatic numbering on every asset
  • Bring your register in from CSV or Excel
  • Status changes itself when a fault is reported or a repair closes
  • Assets are retired with a reason, never erased
  • Manuals linked from your own Drive, OneDrive or SharePoint
02

Planned maintenance that runs itself

Schedule one asset or a whole fleet: every few weeks, the first Monday at 7am, a one-off date, or counted from the last service.

  • Drafts prepared ahead of the due date
  • Nothing is issued until a manager approves it
  • Parts lists, instructions and safety notes on every job
  • Cycle reports on screen, as PDF or by private link
  • Subscribe to maintenance dates in your calendar
03

Work requests people actually finish

Photos, condition, notes, costs and progress on every job, for your own team or outside contractors.

  • Whoever reported the fault can be emailed on every update
  • Plain-language warnings stop duplicate reports
  • Shared jobs: tick off each asset with its own note and cost
  • Closing a job updates the asset record automatically

Fault reporting

Faults reach you, however they're found.

Staff, tenants and even the equipment itself can raise a problem. A person decides what happens next.

QR labels

Scan the label on the plant

Anyone can see an asset's basic details without signing in. Full history stays behind sign-in.

Any phone

Report a fault in seconds

Verified by an SMS code, with an optional photo. Rate limits keep out spam and repeat reports.

Smart devices

Let your equipment speak

Connected equipment reports its own faults through a private link for each device, with a full event log.

Human approval

A person approves first

Device reports arrive as drafts. Repeats attach to the open job, and a recovery adds a note.

Critical assets

Alerts for what matters most

Flag critical equipment and the right people are emailed within minutes that someone reports a fault on it.

Your mailbox

Updates people recognise

Every operational email goes out from your own Microsoft 365, Google or SMTP mailbox, never a shared sender.

Spend and reporting

Know where the money goes.

Cost is captured when each job closes, so planned and reactive spend per site is always current, with budgets, charts and drill-down.

  • Monthly site reports for your team, your client or your board
  • Asset reports on demand: spend against budget and similar assets, depreciated value, and a replacement recommendation
  • Your logo on the workspace and PDFs

Annan does the sums. AI writes the summary in plain English, and an admin approves every report before it's sent.

Monthly site report · Riverside Aged Care · SeptemberAI summary
Planned$18,420 of $22,000
Reactive$6,910 of $5,000

A steady month at Riverside. 14 jobs closed, including the chiller service and the courtyard lighting repairs. Reactive spend ran over budget, mostly from three call-outs to the kitchen exhaust fan.

Worth a lookKitchen exhaust fan KX-02 has cost more in repairs this year than its depreciated value. Consider replacing it.

Contractors on site

Know who's on site, and what they've signed.

Contractors scan a QR poster at the gate and sign in with a passkey. Annan checks their location, their induction and their SWMS or permit before clearing them, and signs them out when they leave.

  • Induction gate with validity periods and re-induction
  • SWMS and permits with templates, crew signing and frozen signed copies
  • Fire-watch timers and review escalations on scheduled jobs
  • Site access records that can't be edited after the fact
  • A portal for each provider: their lead allocates techs, techs see only their jobs, and you approve the work or send it back

Annan keeps the records. Your team still sets the rules for your sites.

Your data, your rules

Your documents stay where you already keep them.

After we use the power of AI to locate missing manuals and documents available for your assets, we let you keep them. Your documents stay where your organisation already keeps them in your MS365 storage or Google Drive, and access is in your control.

Files

In your own Microsoft 365 or Google Drive

Manuals, certificates and maintenance documents stay in your SharePoint, OneDrive or Google Drive, under your permissions. Documents you link from elsewhere are approved before use.

Residency

Kept in Australia

Your records are stored in Sydney, the app runs on servers in Sydney, and AI runs on Amazon Bedrock in Sydney and Melbourne. Photos and documents stay in your own Microsoft 365 or Google Drive.

Access

The right view for each role

Owners, admins, managers and technicians. Managers see only their own sites, and technicians can add records but not change or remove them.

Sign-in

Microsoft 365 or Google Workspace

Or email and password with an optional authenticator app. Contractors and their staff use passkeys.

AI

Processed in Australia, never used for training

AI writes summaries and answers questions. Calculations and decisions are never left to it.

When you use an AI feature, the text needed for that request is processed by Anthropic's Claude models on Amazon Bedrock in Sydney and Melbourne. Manufacturer lookups send only the make and model to a web search service, which may be outside Australia. Nobody trains on it.

Getting started

Onboard in three guided steps.

A guided wizard inside the app walks new organisations through setup, ticking itself off as each part is finished — no checklist to keep by hand.

1

Set up your organisation

Your details, logo, mailbox and file storage connect in a few screens, then you add each site you look after.

2

Bring your assets across

Migrating from another system? Upload your whole register in one go from a CSV or Excel file — numbering, checks and QR labels are handled for you.

3

Invite your team

Bring in your techs, managers and contractor companies, and start raising work requests.
